1. Information We Collect
We collect the following types of information:
- Account information: Name, email address, and password when you create an account — whether you sign up a club yourself, register through a club's page, or accept an invitation from a club administrator.
- Phone number: If you voluntarily provide your phone number to receive SMS text message notifications.
- Player registration information: When a parent or guardian registers players for a season, we store the information the club's registration form collects — such as player names, dates of birth, and emergency contacts — on behalf of that club.
- Volunteer activity: Job signups, hours completed, and schedule participation.
- Roster information: Player names, jersey numbers, and parent/volunteer contact details as entered by coaches, administrators, or registration forms.
2. Payment Information
All payments — club subscription billing and season registration fees — are processed by Stripe. Your card number and other payment details are entered directly on Stripe-hosted forms and are never stored on our servers. We retain only non-sensitive payment metadata, such as the amount paid, the payment status, and the card brand and last four digits Stripe reports to us.
3. How We Use Your Information
Your information is used to:
- Manage club schedules, facilities, and rosters
- Process season registrations on behalf of your club
- Coordinate volunteer job signups and track participation
- Send transactional notifications (email and SMS) about your signups, schedule changes, and reminders
- Authenticate your identity when you log in
Data entered into a club's workspace belongs to that club; we process it only to provide the Service. We do not sell, rent, or share your personal information with third parties except as necessary to operate the Service.
4. SMS Text Messages
If you provide your phone number and opt in to SMS notifications, we will send transactional text messages related to your volunteer signups, schedule changes, and reminders. Messages are delivered through Amazon Web Services (AWS); your phone number is transmitted to AWS solely to deliver the SMS.
You may opt out of SMS notifications at any time by:
- Replying STOP to any message
- Disabling SMS in your profile notification preferences
- Removing your phone number from your profile
5. Data Storage and Security
Your data is stored in a PostgreSQL database on infrastructure we manage in AWS. We use password hashing (bcrypt) to protect your credentials, and access to the Service is protected by session-based authentication. Each club's data is scoped to its own workspace.
6. Data Retention
Your account data is retained for as long as your account is active. Notification logs are retained for operational and auditing purposes. You may request deletion of your account and associated data by contacting your club administrator or [email protected].
7. Third-Party Services
We use the following third-party services:
- Amazon Web Services (AWS): Application hosting, file storage, and SMS text message delivery
- Resend: Email notification delivery
- Stripe: Subscription billing and registration payment processing (including Stripe Connect payouts to clubs)
8. Children's Privacy
The Service is intended for use by adults (parents, guardians, coaches, and administrators). Player information is entered by parents, guardians, or authorized club staff — not by minors directly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date.
